Some general guidelines to follow when running your own event:
Publicity
Send out plenty of emails in advance, both to chocolatiers and chocolatiers-volunteers, to make sure that you will have enough people who know about it and enough people to help you out with it.
Supplies
Unless you have proved to be very unreliable, you are probably welcome to use LCS's supplies as long as you promote us in your event. Just be sure to email the office manager (currently preeya@mit.edu) at least a week ahead of time with the information of which supplies you want to use, when you want to use them, and when you will be returning them.
