Constitution of the Laboratory for Chocolate Science


Purpose

Founded in 2003, the Laboratory for Chocolate Science (LCS) is dedicated to spreading the appreciaaion of chocolate on campus, and to bringing opportunities for learning about, appreciation of, and indulgence in out favorite substance to the community.

Membership

A person is considered an active member of the club if they are on the chocolatiers-volunteers mailing list and have accumulated 5 points over the course of the year.

Points

  • 1 point for doing a small job in relation to an event
  • 1 point for coming to a meeting
  • 2 points for helping set up or run the event
  • 4 points for being in charge of the event

Some events are exceptionally large and require more work. These events will be worth twice as many points, and will be noted as such. The person in charge of the event will be responsible for turning in a sheet listing who helped and how many points they earned at the end of the event. Should the person in charge fail to turn this in within a reasonable amount of time, then he or she will not receive points for the event, and individuals will be contacted to determine their activity at the event.

The membership of the LCS will, at all times, contain at least 5 MIT students and be more than half MIT students.

The organization will not discriminate based on any characteristic listed in MIT’s Nondiscrimination statement, nor on a preference for dark, milk, or white chocolate.

If this organization charges monetary dues or event fees at any time, there will be exceptions made for students who cannot afford such dues or fees.

Officers

The LCS will have the following officers:

  • The President will serve as the official representative of the group to MIT and other organizations. In addition, the President is responsible for scheduling and presiding over meetings. The president must be a current student.
  • The Treasurer will be responsible for all group finances, and either the Treasurer or an appointed financial signatory, is required to sign all checks and vouchers for the group. The treasurer must be a current student.
  • The Secretary will be responsible for maintaining and keeping up-to-date the membership list and taking notes at meetings.
  • The Publicist will be responsible for all group publicity, summer mailing, recruitment activites, etc.

These positions must be occupied by distinct individuals.

Elections

Unique officer positions are assigned by election.

Election will be held once a year at the spring meeting, or at the first meeting after a position is vacated, whichever is sooner.

Any member of the organization is eligible to run for officer.

Quorum for elections shall be half of the membership or a minimum of five members. Members can explicitly decline to vote by notifying the Secretary; these members will not count against quorum.

A member is elected to an officer position if he or she wins a majority.

If more than two people are running and no one wins a majority, the candidate with the fewest votes will be dropped from the ballot and votes will be recast.

The term of officer is one year, from spring meeting to spring meeting.

An officer can be removed by a two-thirds vote of members, with quorum as elections. An election to fill the position should be held immediately.

Meetings

Meetings will be held, a minimum, every April. In the event of the resignation of an officer, a meeting will be held within a month to elect a new officer.

Meetings will be presided over by the President, unless the President is absent, in which case the Treasurer will preside.

All decisions shall be made by a majority vote of members present.

Quorum for a meeting shall be one-third of the membership or a minimum of five members. Members can decline to vote by notifying the Secretary; these members will not count against quorum.

Amendments

Amendments shall be presented by any member of the organization.

Amendments shall be passed by a two-thirds vote of members present.

Quorum for amending this constitution shall be one-half of the membership of a minimum of five people, as described under Elections.

ASA God Clause

The Laboratory for Chocolate Science agrees to abide by the rules and regulations of the Association of Student Activities and its executive board. The constitution, amendments to it, and the by-laws of this organization shall be subject to review by the ASA Executive Board to insure that they are in accordance with the aforementioned rules and regulations.
